Heirloom & Client-Owned Property

SLOW FORM is honored to work with heirloom jewelry, sentimental objects, and client-owned stones or materials. Due to the nature and condition of previously owned items, the following policies apply when incorporating or working with client-provided property.

Appraisal of Heirloom Property

Clients are strongly encouraged to insure and/or obtain updated appraisals for sentimental or high-value heirloom items prior to the piece changing hands. SLOW FORM reserves the right to require proof of insurance or appraisal documentation for select projects.

Assessment of Client-Owned Materials

All client-owned materials, including stones, jewelry, and precious metals, are subject to inspection before work begins.

SLOW FORM reserves the right to decline the use of any material deemed structurally compromised, excessively worn, damaged, unstable, or otherwise unsuitable for the intended design or process.

Inherent Risks

By providing heirloom or client-owned materials, the client acknowledges and accepts that previously worn or aged items may carry inherent risks, including but not limited to:

  • weakened prongs or settings

  • internal stone fractures or chips

  • porosity or brittleness in metal

  • hidden damage from prior wear or repair

  • material fatigue

While all reasonable care will be taken during handling and production, SLOW FORM cannot guarantee against damage, stone loss, or breakage resulting from the pre-existing condition of client-owned items or materials.

Liability Limitations

SLOW FORM is not responsible for:

  • damage caused by pre-existing structural issues

  • gemstone breakage during stone removal, setting, resizing, or repair

  • loss or damage resulting from undisclosed prior repairs or treatments

  • imperfections or inconsistencies in recycled or heirloom materials

Liability for loss or damage resulting directly from negligence by SLOW FORM, if applicable, will be limited to the documented replacement value of the client-provided materials, not the sentimental or appraised value of the completed piece.

Documentation

Clients may be asked to provide:

  • photographs

  • appraisals

  • receipts

  • gemstone information

  • estimated replacement values

SLOW FORM may document client-owned materials through photographs and written intake records before work begins.

Shipping Client-Owned Materials

Clients are responsible for securely packaging and insuring any materials shipped to SLOW FORM.

SLOW FORM is not responsible for loss or damage occurring during transit to the studio.

Unclaimed Property

Completed projects, repairs, or client-owned materials left unclaimed for more than 90 days after notification may be subject to storage fees or considered abandoned property where permitted by law.

Agreement

Submission of client-owned or heirloom materials for custom work, repair, redesign, or other services constitutes acceptance of this policy.

Additional resizing requests beyond this period may incur resizing and shipping fees depending on the design and extent of the adjustment.

Resizing Limitations

Third-Party Repairs or Resizing

SLOW FORM is not responsible for damage, structural issues, stone loss, or future repair needs resulting from resizing, repair work, or modifications completed by another jeweler.

SLOW FORM offers a limited warranty covering manufacturing defects, structural issues, or stone tightening concerns determined to be the responsibility of SLOW FORM within 3 months of the original delivery date.

Eligible warranty repairs may include:

  • defective craftsmanship

  • loose stones due to workmanship issues

  • structural faults determined to be production-related

Warranty coverage is provided at the discretion of SLOW FORM following inspection of the piece.

  • accidental damage

  • bent rings or misshapen settings

  • chipped, cracked, or broken stones caused by impact

  • damage caused by improper care or storage

  • exposure to chemicals or abrasive materials

Any work completed by a third party may void warranty coverage.

Maintenance & Stone Checking

Fine jewelry requires regular care and maintenance over time.

Customers are encouraged to periodically inspect their jewelry and have pieces professionally checked to ensure stones remain secure and settings remain structurally sound.

Prongs and settings naturally wear over time through daily use and may require future maintenance.

Jewelry Care Recommendations

To help preserve the longevity of your jewelry:

  • remove jewelry before exercising, lifting weights, or attending the gym

  • avoid wearing jewelry while swimming, especially in cold water

  • avoid exposure to harsh chemicals, cleaning agents, chlorine, perfumes, lotions, or beauty products

  • avoid contact with abrasive materials such as sand, dirt, concrete, or rough surfaces

  • store jewelry separately to minimize scratching and wear

Cleaning

For routine cleaning, jewelry may be gently cleaned using:

  • warm water

  • mild grease-cutting dish soap

  • a soft toothbrush or soft cloth

Pieces should be thoroughly rinsed and dried after cleaning.

Ultrasonic or steam cleaning is not recommended for certain stones or delicate settings unless specifically approved.

Repairs Outside Warranty Period

Repairs requested outside the warranty period may be completed at the customer's expense depending on the nature of the repair and condition of the piece.

Stone, Material & Pricing Variations

Natural Stone & Material Variations

Many gemstones and materials used by SLOW FORM are natural, reclaimed, recycled, antique, or one-of-a-kind. Variations in color, tone, inclusions, texture, shape, and overall appearance are normal and should be expected.

Natural gemstones may contain inclusions, surface-reaching characteristics, asymmetry, or internal features that are not considered defects.

Hand-fabricated, cast, engraved, or individually finished pieces may also contain slight variations from photographs, renderings, mockups, or previous pieces. Minor differences are considered part of the handmade process and character of the work.

Please note that colors and appearance may vary depending on:

  • screen settings

  • lighting conditions

  • photography editing

  • natural material variation

Heirloom & Reclaimed Materials

When using heirloom, reclaimed, or recycled materials, exact color matching and consistency cannot be guaranteed.

Previously worn or antique stones and materials may display signs of age, wear, abrasions, or prior repairs that are considered part of the material's existing condition.

Delicate Stone & Material Limitations

Certain gemstones and materials are inherently delicate and may carry increased risk during wear, resizing, setting, repair, cleaning, or production processes.

Stones such as emeralds, opals, pearls, turquoise, antique stones, heavily included gemstones, and other fragile materials may be more susceptible to:

  • chipping

  • cracking

  • abrasion

  • crazing

  • discoloration

  • structural damage

While all reasonable care will be taken during handling and production, SLOW FORM cannot guarantee against damage to delicate, included, treated, antique, or previously worn stones during repair, resizing, resetting, or production work.

Certain repairs, resizing requests, stone resetting, or modifications may be declined if the process is determined to place the piece or stone at unreasonable risk.

Pricing & Quote Validity

Precious metal and gemstone pricing fluctuates regularly based on market conditions and supplier availability.

Custom quotes and estimates are valid for a limited period of time and may be subject to revision prior to deposit.

Pricing may change due to:

  • metal market fluctuations

  • gemstone availability

  • sourcing changes

  • project scope adjustments

  • design revisions requested after quoting

A project is not considered secured in pricing, sourcing, or production scheduling until the required deposit has been received.
